Description:

Answer telephone pleasantly and direct calls with accuracy. Prepare, send, and follow up on Non-Disclosure Agreements. Open, date and distribute incoming mail to all offices in a timely manner. Post outgoing mail and keep adequate postage loaded onto the machine. Distribute and copy incoming faxes to the correct people. Assist incoming customers, salespeople and others at the reception area in a professional manner. Execute waiver forms upon visitor arrival and maintain log of the same. Prepare welcome board when visitors are scheduled to visit. Coordinate travel arrangements. Maintain Conference Room and Kitchen area by ensuring it remains clean and stocked with supplies. Maintain shared copier and order supplies. Prepare reports, presentations, letters, and other correspondence utilizing Microsoft Office Suite. Prepare bulk mailings. Position will also support the Sales Department by recording and processing customer inquiries. Preparing quotations with price, delivery, and terms. Preparing equipment sales orders. Organizing complete quotation packages. Send updated completion schedules to customers. Assist in preparation of job files and quality files. Organize luncheons and company events. Support administrative tasks for other departments.  Other functions as assigned.

This is a full-time position.  Typical hours are Monday-Friday, 8 am to 5 pm.

Requirements:Associate Degree in Administrative field preferred.  Will consider experience in lieu of education.  Minimum of 1 year of administrative experience. Strong written and verbal communication skills required. High level of professionalism required.  Ability to multi-task.  Detail-oriented.
